What an AI Receptionist Cannot Do: 8 Limits to Know Before You Buy

An AI receptionist cannot replace a person for emergencies, upset or vulnerable callers, complex quotes, negotiations or any call that needs judgement. It can also mishear accents and noisy lines, give wrong answers if your information is out of date, and sound artificial to some callers. Set clear hand-off rules, tell callers it is AI, and review calls regularly.

Eight limits

1. Emergencies and safety

A caller with a burst pipe, a gas smell or a medical issue needs a person at once. The assistant can recognise urgent words and pass the call on, but it should never be the only line of response.

2. Upset or vulnerable callers

A distressed caller needs warmth and judgement. Set the assistant to pass these calls to a person.

3. Complex or high-value quotes

A large job needs questions, site details and sometimes a visit. The assistant can collect details but should not price complicated work.

4. Mishearing

Automated speech recognition can struggle with strong accents, background noise and poor lines. Test the assistant with realistic calls, including noisy ones, and review transcripts.

5. Out-of-date information

An assistant answers from the information you give it. If your prices, hours or areas change and it is not updated, it will give wrong answers confidently. Keep one owner for updates.

6. Sounding artificial

Sellers often claim the voice is indistinguishable from a person. A published three-month test of an AI answering line noted that some callers will always feel misled if it pretends to be human. Tell callers it is an AI and make it easy to ask for a person.

7. Advice that needs a professional

An assistant should not give legal, medical or safety advice, or promises about work. Limit it to information you have approved.

8. Data and recording duties

Calls involve personal data. If calls are recorded or transcribed, you need a lawful reason, you must tell callers and you must keep the data secure. Check the Information Commissioner’s Office guidance and take legal advice for your setup.

Test before you launch

  1. Write ten realistic calls, including an emergency, an angry caller, a vague request and a noisy line.
  2. Run them and read the results.
  3. Fix the rules, then run them again.
  4. Go live on after-hours and busy-time calls first.
  5. Review every call in the first month.

When not to use one

Skip it if most of your calls are emergencies, if your calls need judgement every time, or if you cannot spare the time to set it up and review it. A text-back or a human service may suit you better. Frequently asked questions

Can an AI receptionist handle emergencies?

Not alone. It can recognise urgent words and pass the call to you at once, but a person should handle the emergency.

Will an AI receptionist make mistakes?

Yes, sometimes. It can mishear, or answer from out-of-date information. Test it, review calls and update the information it uses.

Should it tell callers it is an AI?

Yes. It builds trust and supports your data protection duties to be open about how calls are handled.

Can it quote prices?

It can give prices or ranges you have approved. Complex or high-value jobs should go to a person.

Is it safe for customer data?

Only if you choose a provider carefully, limit what is recorded and follow data protection rules. Check ICO guidance and take legal advice.
