Missed-Call Text-Back for UK Businesses: How It Works and Its Limits
Missed-call text-back sends an automatic text to a caller within seconds of a missed call, so the lead stays open. It is a backstop, not a fix: the call is still missed, and it works less well for emergencies and callers who do not text. Check UK rules on consent and data before you switch it on, and keep the first message to a simple service reply.

How it works
- Someone calls your business number and nobody answers, or the call goes to voicemail.
- The system detects the missed call, usually within seconds.
- It sends a text from a number linked to your business, acknowledging the call and inviting a reply.
- The conversation continues by text, or the caller books through a link.
Setup is often described as taking 15 to 30 minutes on many platforms, and reputable providers handle the technical registration for business texting. Standalone tools are quoted from about $29 a month by one vendor.
What a good message looks like
Keep it short, honest and about their enquiry. For example: Sorry we missed your call. This is [business name]. How can we help? Reply here and we will get back to you by [time]. Do not promise a call-back you will not make, and avoid sending texts in the middle of the night.
What it can and cannot do
- It can acknowledge the caller, keep the conversation open and capture the reason for the call.
- It cannot answer the call. The call was still missed.
- It works less well for emergencies and for callers who do not text.
- Recovery claims from vendors should be treated with scepticism, as even vendor guides say.

UK points to check
This is general information, not legal advice. Before you switch on automatic texts, check these points against Information Commissioner’s Office guidance and with a solicitor:
- Consent and content. Marketing texts need consent under UK electronic marketing rules. A reply to someone who has just called you about their enquiry is different from a marketing message, so keep the first text to a plain service reply and do not add offers.
- Opt-out. Make it easy for someone to say stop, and honour it.
- Personal data. You are processing a caller’s phone number and what they say. Tell people how you use it, keep it secure and only keep it as long as you need.
- Channel rules. If you also send messages through WhatsApp or another service, that service has its own terms.
- Records. Keep a record of what you send and when.
Measuring it
Count missed calls, texts sent, replies and bookings from replies for a month. Use our missed call cost calculator to compare the result with what missed calls were costing you. To check your website also records enquiries, see nine checks when a website gets no enquiries.

Text-back or something more?
A text-back is the simplest first step. If many missed calls are routine, an AI receptionist answers them directly, and a person is better for sensitive ones. Compare them in AI receptionist vs text-back vs answering service.
Frequently asked questions
What is missed-call text-back?
An automatic text sent to a caller after a missed call, so they get an instant reply and the lead stays open.
Does it actually win jobs?
It can keep leads that would be lost, but the call is still missed and vendor recovery figures are unreliable. Measure your own results over a month.
Is it legal in the UK?
It depends on the content and how you use it. Keep to a plain service reply, offer an opt-out and handle data properly. Check ICO guidance and take legal advice.
Can it reply on WhatsApp?
Some systems can, subject to that service’s terms and your own consent and data duties.
Does it work for emergencies?
It works less well, because a person is needed straight away. For urgent trades, use a service that reaches a person or passes urgent calls to you.
How long does it take to set up?
Often 15 to 30 minutes on many platforms, according to vendor guides, though your own set-up may differ.
